Administrative Coordinator

Responsibilities:

We are currently seeking an Administrative Coordinator to join our team. The successful candidate will be organized, analytical, with exceptional communication and problem-solving skills to handle office duties and admin-related operations. In this role, you will field interdepartmental communications, perform office tasks, respond to communications, and oversee all administrative tasks for the company.

Located in Barrie, Ontario, we are a specialized industrial engineering firm focused on designing complex automation with a blue-chip customer base since 1971. Description:
  • Provide administrative support to the CEO, CFO, and Management Team
  • Coordinate travel arrangements, both domestic and international for all business travelers in company
  • Maintain and update company policies/work flows under guidance of applicable department Manager
  • Support the coordination, preparation and facilitation of presentations and meetings
  • Assist with data entry, research and obtaining of information as required
  • Coordinate company functions
  • Maintain and organize files; and
  • Other duties as required

Qualified candidates will possess:

Key Professional Attributes:
  • 3+ years of experience working providing administrative coordination in a professional setting
  • Initiative and ability to anticipate needs and provide solutions/options, particularly when confronted with ambiguity and a high degree of change
  • Advanced working knowledge of MS Excel, Outlook, Word, and PowerPoint
  • Ability and willingness to learn new technologies and tools
  • Strong interpersonal relationship skills to work effectively with team members at all levels within Prodomax, external Board Members, and stakeholders
  • Excellent written and verbal communications skills
  • Strong judgement skills and commitment to maintaining confidentiality
  • Thrive on learning and suggesting new processes, systems, concepts, ideas, topics, etc.; and
  • Flexibility to be available outside of normal work hours to provide support on urgent matters or to meet tight deadlines
